Terms & Conditions
Our operating policies are designed to effectively support the needs of our clients, and adherence to these policies is mandatory at all times by both the tutor and the clients for our service to be effective. Deviation from these policies may, but also may not necessarily, at the sole discretion of Herve Academy, result in a termination of the contract between Herve Academy and both client and tutor. These policies were designed in order to accommodate and satisfy all parties involved equally and represent fair and reasonable terms and conditions thereto.
Students are expected to:
- Come to the tutoring session on time
- Engage actively throughout the tutoring process
- Come prepared with relevant course materials and questions for the tutor
- Complete any homework assigned by the tutor, if applicable
- Be open to constructive feedback and willing to adjust study habits
- Exercise patience with both the tutor and the learning process
Typically, it takes about 3 to 4 sessions for students to become comfortable with their tutor and for the tutor to understand each student’s unique learning style. To maximize the effectiveness of each session, students should come prepared with textbooks, homework, tests, notebooks, pencils, and any other necessary supplies
General guidelines:
- If you are unsatisfied with your tutor during the first session or any subsequent session and choose to discontinue, please notify Herve Academy promptly to end the arrangement. It is the client’s responsibility to report any concerns or unsatisfactory tutor performance to Herve Academy. We welcome all feedback, whether positive or constructive.
- Except in emergencies, lessons cancelled with less than 24 hours’ notice will still be charged.
- Sessions cancelled with sufficient notice or due to emergencies can be rescheduled with the tutor at a mutually convenient time within the active term.
- Each tutoring session is billed for a minimum of one hour. Sessions shorter than an hour will be charged as a full hour.
- While most students see academic improvement after a few sessions, individual results cannot be guaranteed. All tutors undergo thorough screening to ensure you receive instruction from highly qualified and skilled professionals.
- Any damages or liability issues must be addressed directly with the tutor on an individual basis. Herve Academy and its employees, directors, founders, associates, and their relatives are not liable for any such claims.
- A tutoring session officially begins when the tutor arrives. Students must be prepared and ready; any delay caused by the student will count toward the session time.
- Sessions are billed according to the originally agreed schedule. If you need to adjust the frequency, please notify the office so we can update the tutor’s schedule accordingly. Any reductions in session time without notice will be billed at the original duration. Additional hours beyond the scheduled session will also be billed.
- According to Herve Academy’s policies, clients may not directly hire or engage an assigned tutor for a period of 5 years following the start of their contract with Herve Academy. This complies with the Competition Act and Canadian consumer protection laws.
- Vacation notices should be submitted to the office at the start of the month or as early as possible if cancellations are necessary.
- Non-consecutive tutoring periods will continue to be billed weekly and are considered missed sessions.
Online Tutoring Guidelines:
- Sessions will be conducted via [Zoom/Google Meet/Your platform]. Students are responsible for ensuring a stable internet connection and a quiet, distraction-free environment.
- Please test your equipment (camera, microphone, headphones) before each session to avoid delays.
- Recording sessions without prior consent from the tutor and Herve Academy is prohibited.
- Students should join the session on time and be prepared with all necessary materials.
- Any technical difficulties during the session should be communicated promptly; rescheduling may be considered based on circumstances.
Payment Terms:
- Payment for tutoring sessions must be made in advance or according to the agreed payment schedule.
- Accepted payment methods include e-transfer.
- Late payments may result in suspension of services until the balance is cleared.
